Recruitment Procedure for New Lecturers
- As Faculty Initiator - Department preparers will submit a ROCS request in the Applicant Tracking System (Blue Tab).
- The request will then be transitioned to Jonathan Wright for Budget review and to Paul Ellwood as Authorizer 2 for final review and posting.
- Each position must be posted for a period of at least five business days.
- Search Committee reviews all applicants, and Applicant Reviewer moves the candidated through the appropriate workflow status:
- UHR Qualification review
- Once OEE approved, move the candidate to “Interview”
- Department should complete dispositions of all other applicants
- Once department has identified a successful candidate, a verbal offer may be extended.
- Upon receipt of acceptance of verbal offer, Applicant Reviewer may move candidate to workflow status of "Finalist". This will initiate the Background Investigation (BGI)
- Upon receipt of BGI approval, Department preparer submits a request in the Lecturer Depository to generate a formal appointment letter. The candidate will receive an email with a link to sign and initial the contract in DocuSign.
- Once the department preparer receives the signed appointment letter, they may proceed with submitting a Template Based Hire (TBH) request in HCM and upload a copy of the signed letter, the approved BGI Certification email, and the three PTL forms.
Recruitment Procedure for Returning Lecturers
According to policy 60.1.30, All returning Lecturers must have a current BGI.
- As Faculty Initiator, Department Preparers may submit a general/generic-Internal ROCS request in the Applicant Tracking System (Blue Tab).
- The request will be transitioned to Jonathan Wright for Budget review and to Brianna Ortega as Authorizer 2 for internal posting.
- Department Prepares must request returning lecturers from their units to reapply to the internal posting.
- As applicant reviewer, move all the lecturers through the appropriate workflow status outlined above.
- Once the Lecturers are moved to the status of “Finalist”, a “BGI Waiver” request will be initiated.
- Upon receipt of the BGI approval, Department preparers will submit a request in the Lecturer Depository to generate a formal appointment letter. The candidate will receive an email with a link to sign and initial the contract in DocuSign. Once the department preparer receives the signed appointment letter, they may proceed with submitting a reappointment request in HCM and upload a copy of the signed letter and the approved BGI Certification email.
