Per University policy 60.4.6, employees must have held their current position for a minimum of six months to be eligible for the vacant position. If an employee does not meet this eligibility requirement, their recommendation to hire request will be denied.
Internal to Department
- If the Finalist currently holds an active Class 1 appointment within your department, UHR will submit a ticket to HCM to process this new appointment.No further action is required by the department.Once the transfer has been completed, UHR will provide a confirmation email to the employee and your department’s hiring manager.
- If the Finalist currently holds an active Class 3 appointment within your department, SEBS-HR will process the new Class 1 appointment as an ad hoc transfer, and we will notify your department once the transfer has been processed.
- If the Finalist currently holds an active Class 4, Class 5, or Class 6 appointment within your department, this appointment must be terminated one calendar day prior to the start of the new appointment.
Internal to School

Internal to University
- If the finalist holds another Class 1 position within the university (outside of SEBS), UHR will submit a ticket to HCM in order process this new appointment. No further action is required by the department.Once the transfer has been completed, UHR will provide a confirmation email to the employee and your department’s hiring manager.
- If the Finalist currently holds an active Class 3, Class 4, Class 5 or Class 6 appointment within the university, SEBS-HR will contact the home department to ensure the current appointment has been terminated prior to the start of the new appointment and will inform the department once termination has been processed.
External Hire
- If this is an external Class 1 hire, department preparers now enter a request for a Template-Based New Hire into HCM, attaching the Signed Offer Letter and a copy of the BGI Certification or BGI Waiver email.HCM will NOT process the new hire if both documents are not uploaded as Job Data Attachments. **External hires would have a probationary period of 90 calendar days.If an extension is required, please contact our office at least 30 days prior to the expiration of this period.
