Post Doctoral Associate Appointment Process

Once the Selection Committee has completed its search and has selected the Finalist:

1. The department will prepare an approval to hire packet (as one pdf) for the Research Dean to review.
   In the following order, the packet should include:
   1. The Post Doc Appointment Initiation Form (which will require signatures)
   2. Candidate's CV
   3. Justification memo from the selection committee chair to the department chair indicating why the finalist chosen is the "best qualified candidate" (reference ROCS posting number).
2. Once compiled, the hiring packet will first be routed by DocuSign to the department's business office staff approver for signature, then onto the Dean of Research for final signature. Please include the Principal Investigator as a Docusign reviewer (if applicable).
3. Once the Post Doc Appointment Initiation form has been signed by all parties, you can extend a verbal offer. The department can then prepare a Post Doc Appointment Letter for signature (visit the SEBS-HR website for a sample letter).
4. The Applicant Reviewer will then Select the "Finalist" in ROCS which will automatically signal UHR to begin the background investigation process.
5. Once the background check has been completed, UHR will email back a BGI certification. The BGI certification and the signed Post Doc Appointment Letter are required in order to proceed with the template-based hire in HCM.
6. An I-9 (employment eligibility verification) must be completed before the employee’s first date, on the first day of work, but no later than the third day of the start of employment.
7. Applicant Reviewer can now disposition all other applicants in ROCS.
8. Initiator will then notify SEBS-HR to change the status of the posting to 'Closed/Filled.'

Documents to be maintained by Department for Post Doctorate Appointments:

1. CV with a current mailing address for Finalist
2. Three professional letters of recommendation (on official letterhead)
3. Official Copy of PhD Degree Certification
4. Background Check Certification (HCM Attachment)
5. Appointment Letter signed by the Chair and Finalist (HCM Attachment)
6. Position Description and Posting Summary Detail
7. Visa Info through Sunapsis (if applicable)
