Post Doctoral Appointment Process

Approval Process

  1. The department will complete initiation form and send via email to all appropriate departments; SEBS Business Office, SEBS Budget and Planning Office, SEBS Dean's Office, Office of Research.
  2. The Search Committee Chair will write and submit the justification memo indicating why the Finalist chosen is the "best qualified candidate" and request approval from Department Chair to proceed (reference ROCS posting number).
  3. The Department Chair will draft a letter to the Research Dean requesting finalist approval.

Re-Appointment Approval Process

  1. The department Chair will send a justification letter to the Research Dean, SEBS Business Office, and Sr. Program Coordinator with funding information.
  2. The letter is approved by the business office and the Research Dean.
  3. The letter is sent to the faculty member and then filed in HCM.

Faculty File Deliverables (to be kept in Department)

  1. The Post Doc faculty member will supply an updated CV with a current mailing address (Reappointments and New Hires).
  2. Three professional letters of recommendation (on official letterhead) are required for new Post Docs appointments (New Hires).
  3. Official Copy of PhD Degree Certification (New Hires).
  4. Unofficial Copy of Transcript (required only if this is a contingency hire - see information below).
  5. Offer Letter signed by Chair and Finalist (this letter will serve as an HCM attachment).
    Background Check Certification (this document will serve as an HCM attachment).
    The Position Description and Posting Summary Detail can be maintained as part of your office file documents.

In addition to the required file documents listed above, all non-US citizens who are seeking a visa must complete a Proof of English Proficiency form and follow the following instructions:

  1. For Sunapsis requests – Foreign Nationals: access sunapsis.rutgers.edu/istart/controllers/start/StartEngine.cfm search for the request link. Enter your id and password along with the full name and address of the joining party. This link will then be emailed directly to the joining party so they may upload their documents (CV, passport, source of funding, letter of invitation). You will receive a notification email once this process has been completed. You may now upload any remaining documents (i.e., JE numbers along with the English proficiency document and appointment letter). Once submitted and approved you will be notified once the process has been completed. Visit the RU Global website for additional information at global.rutgers.edu/international-scholars-students.
  2. Official Copy of PhD Degree Certification.

Individuals who do not hold a PhD at the time of the appointment request may be considered on a case-by-case basis. Contingency requests should be directed to the Research Dean along with a current CV and an official qualifying receipt of submittal of dissertation for the Dean's review. We reserve the right to request an official transcript at the completion of the PhD program.
